Lab & Pharmacy Software: What to Look For

6 min readBy the Abhivorn team

Many independent diagnostic labs and pharmacies still run on registers, spreadsheets and WhatsApp. It works when the business is small, but it gets harder as patients and orders grow: reports get lost, stock runs out without warning, and staff spend hours on work a simple system could do in minutes.

This guide explains what lab and pharmacy software should do, and how to choose one that suits a small or growing business in India.

What lab software should do

Fast patient registration

Registration should take seconds, not minutes. Look for a system that saves returning patients, so the front desk does not retype the same name, age and phone number every visit.

Sample and test tracking

Each sample should be linked to the right patient and test from the moment it is collected. Staff should be able to see which samples are pending, in progress or ready, so nothing gets missed at the end of a busy day.

Digital reports

Patients increasingly expect reports on their phone. The software should let you send reports digitally, keep a copy against the patient's record, and let the patient or their doctor open it again later. This also cuts printing costs and repeat visits just to collect a paper report.

Billing and daily totals

Billing should be built in, with clear daily and monthly totals, so you know what came in without adding it up by hand.

What pharmacy software should do

Quick billing

Billing at the counter should be fast, with medicines found by name or barcode, and correct prices and taxes added automatically.

Stock and expiry

The system should track stock as you sell, warn you before items run out, and flag medicines that are close to their expiry date. This alone can save a pharmacy a lot of money.

Prescriptions

When doctors write digital prescriptions, the pharmacy should be able to receive and read them clearly, with no guessing at handwriting. A simple queue of prescriptions waiting to be filled helps the counter stay organised.

How to choose the right system

Easy for your staff

If the software needs weeks of training, it will not be used properly. Ask for a demo and see whether a new staff member could follow it in a day.

Works on what you have

Check that it runs on the computers, tablets or phones you already use, and that it still works when the internet is slow.

Privacy and data ownership

Patient reports and prescriptions are sensitive. Ask how data is stored and protected, who can see it, and whether you can export your own data if you ever switch systems.

Clear pricing

Prefer a simple monthly plan over a commission on every test or order. Commissions grow as your business grows and can end up costing far more than a fixed fee.

Off-the-shelf or custom?

Most small labs and pharmacies are best served by a ready platform that already does these things well. Custom software makes sense for larger chains, or for businesses with unusual workflows or integrations with existing machines and systems.

Our own product, VORQARD, connects patients, doctors, labs and pharmacies through a single patient QR identity, with digital reports, prescriptions, billing and stock in one place and no commission on tests or orders. If you need something built around your own workflow instead, our healthcare software team can help.

Frequently asked questions

Do small labs really need software?
Yes, once you handle more than a few patients a day. Software reduces lost reports, billing mistakes and time spent on paperwork, and lets you send reports to patients digitally.
Can lab reports be sent to patients on their phone?
Yes. Good lab software sends reports digitally and keeps them linked to the patient's record, so the patient or their doctor can open them again later.
What is the most useful feature in pharmacy software?
Stock and expiry tracking. Knowing what is running low and what is about to expire prevents lost sales and wasted medicines.
Should I pay a commission per test or order?
It is usually better to choose a fixed monthly plan. Commissions grow with your business and can cost much more over time.
